What is on the invoice template, and why

Invoice numberOne unbroken sequence, never reused. It is how you, the client and the tax office refer to this invoice.
Date and due dateThe issue date counts for tax. The due date, or terms like 14 days, is what you chase against.
Your detailsName or business, address, and your tax or VAT number if you're registered.
Client detailsTheir legal name and address, and their VAT number for business clients in the EU.
Line itemsWhat you did, with quantity and price per line, so nobody has to ask what the total is for.
TaxThe rate and the amount on their own line, or a note saying why none is charged.
Total and currencyOne total, in one currency, with the code next to it when you work across borders.
Payment detailsBank details or a payment link, and the invoice number as the payment reference.

Invoice templates by trade

Written per trade: example lines for the work, and the things people in that trade tend to forget.

3D artistsBill modelling, look development, render time and revision rounds as separate lines, so a client can see why a frame costs what it costs.Graphic designersItemise concepts, revision rounds, print files, font licences and stock images, so a logo invoice does not read as one number pulled from the air.IllustratorsSeparate the illustration fee from the usage licence, and bill sketches, rush work and extra rounds as their own lines.Motion designersBill styleframes, the animatic, final animation per second and every extra aspect ratio, so cutdowns and versions are visibly paid work.AnimatorsShow storyboard, rigging, animation per second and clean-up as separate lines, so a short clip with heavy setup is billed for what it took.Video editorsBill footage ingest, assembly, fine cut, colour, sound mix and extra revision rounds as separate lines instead of one edit fee.VideographersBill shoot days, crew, kit hire, travel and overtime as their own lines, and keep the edit and raw footage separate from the shoot.PhotographersSplit the creative fee, usage licence, retouching per image, second shooter and travel, so clients see what a photo shoot costs beyond the day.UX designersBill discovery, research sessions, participant incentives, wireframes, high-fidelity screens and design system handoff as separate lines.Web developersInvoice the build, the hosting and domain pass-throughs, plugin licences and content entry as separate lines, so a website bill reads as what it is.Software developersInvoice sprints, milestones or hours against what was agreed, with cloud and API costs passed through on their own lines.Game developersInvoice game work against milestone builds, with certification fixes, engine costs and asset purchases billed apart from the core fee.Data analystsBill data cleaning, analysis, dashboard builds and ad-hoc requests as separate lines, with tool licences and query costs passed through.SEO consultantsInvoice SEO audits, monthly retainers, link-building costs and tool subscriptions as distinct lines with the period each covers.TranslatorsInvoice translations per source word with fuzzy match rates, minimum fees, rush surcharges and certification shown on separate lines.CopywritersInvoice copy by project or deliverable, and bill research, interviews, extra edit rounds and kill fees on their own lines.Content writersInvoice articles per piece or per word, with SEO research, images, CMS publishing and rewrites from changed briefs as their own lines.Social media managersInvoice your monthly retainer, extra posts, community hours and tool seats as separate lines, and keep the client's ad spend off your books.Marketing consultantsBill marketing strategy, workshops, retainer hours and campaign management separately, and keep media spend as a clear pass-through line.Business consultantsInvoice discovery, workshops, the final report and travel as separate lines, so a consulting fee reads as work done rather than a lump sum.ArchitectsInvoice architectural work by design stage, and keep site visits, authority fees and consultant costs off the fee line.Interior designersSeparate your design fee from furniture procurement, deposits on orders and site visits, so clients see the fee and the goods as different money.Voice actorsInvoice the session fee and the usage licence as separate lines, with media, territory and term named, plus pickups and studio costs.Music producersInvoice production, mixing, mastering, session players and stems as separate lines, and keep royalty splits out of the fee.Virtual assistantsInvoice your hour block or retainer, hours used, overage and any purchases on the client's card, with a clear log behind every hour.

Questions

Can I download the invoice template as a PDF?

Yes. Fill it in and press Download PDF. The file is built in your browser, so nothing you type is sent to us.

Is there a Word or Excel version?

No, only PDF. A PDF looks the same on every screen and can't be changed by accident after you send it. Your browser keeps the draft, so you can come back and edit before you download again.

Can I use the template for business and commercial work?

Yes, for as many clients and invoices as you like. The PDF carries a small Made with OIO line at the foot and nothing else.

Does it work outside the US?

Yes. Pick any currency, and call the tax VAT, GST or sales tax. The layout is the same one most countries expect, but check the local rules for anything extra, such as a reverse-charge note.

One app for the paperwork and the work

In OIO proposals, invoices and contracts belong to the client and the project they're for, and the money view shows what is outstanding and what is paid. Free plan, no card.
