Invoice template for graphic designers
Graphic design invoices tend to get questioned at the end, not the start. The quote said "logo and business card", and three weeks later the client has seen five concepts, asked for a social media kit, a letterhead and a version for embroidery. If the invoice still says "logo and business card" with a bigger number, you will spend a week explaining it.
Bill the work the way it actually happened: the concepts you presented, the rounds of changes, the extra formats and the third-party costs. Fonts and stock images in particular are real money you paid on the client's behalf, and they have their own licence terms the client needs to know about.

What graphic designers forget to bill
- Revision rounds past the number in the quote, each as its own line.
- Extra file formats and variants: one-colour, reversed, embroidery, favicon, social avatars.
- Font licences bought for the client, named, so they know which licence they hold.
- Stock images or illustrations, with the licence type (standard or extended).
- Print production work: preparing press-ready files, proof checks, liaising with the printer.
- A brand guidelines document, if it grew past a one-page sheet.
Questions graphic designers ask
Should graphic designers charge for font licences?
Yes, if you bought the licence for the client's use. Put it on its own line and name the font and licence type. If the client will set type in that font themselves, they need their own licence anyway, so tell them which one to buy instead of sharing yours.
How do I invoice extra revisions on a logo?
Bill each round beyond the agreed number as a separate line, at the round price from your quote. Date the rounds if you can. A line that says "Revision round 5, requested 12 March" rarely gets disputed.
Do I send the final logo files before or after payment?
After, for a new client. Send low-resolution or watermarked previews for approval, then release the vector files when the invoice is paid. Say this in the quote so it is not a surprise.
