Invoice template for business consultants

Business consulting fees are large numbers attached to work the client mostly did not see: interviews, data requests, analysis, drafting and redrafting a report. An invoice with one line saying "Consulting services" gets forwarded to a finance department that has never met you and asks what it is. Name the phases the client approved, and the invoice explains itself.

Travel and expenses are the second sore point. Flights, hotels and per diems for on-site work are real costs, and clients have different rules about what they will reimburse. Agree the rules up front and bill expenses on their own lines with receipts, never folded into the fee.

What business consultants forget to bill

Questions business consultants ask

How do business consultants invoice a fixed-fee project?

In milestones tied to deliverables, such as discovery complete, draft report delivered, final report accepted. Each invoice names the milestone, so the client's finance team can match it to the contract without asking.

Can I bill travel time as a consultant?

You can if the contract says so. Some consultants bill travel days at a reduced rate, others include travel time in the fee and bill only the costs. Pick one, write it down, and stay consistent across invoices.

Should expenses go on the same invoice as fees?

They can, as separate lines with receipts attached. Some larger clients want expenses on a separate invoice because they are approved by a different person. Ask during onboarding.
