Invoice template for UX designers
UX work is mostly invisible in the final file. The client sees a set of screens in Figma; behind them are stakeholder interviews, user sessions, synthesis, flows and a few rejected structures. When the invoice says "app design", that thinking reads as overhead. When it lists discovery and research as their own lines, it reads as work.
Research also has direct costs. Participant incentives, recruitment panels and testing tools are paid out of pocket, and they belong on the invoice at cost, not hidden inside your day rate.

What UX designers forget to bill
- Discovery workshops and stakeholder interviews.
- User research sessions, and synthesis as its own line.
- Participant incentives and recruitment fees, at cost.
- Extra prototype rounds or test cycles past the quote.
- Design system work and developer handoff documentation.
- Meetings and design QA during build, if they ran over the agreed hours.
Questions UX designers ask
Should UX designers charge for research separately?
Yes. Research is a distinct phase with its own outputs, and some clients will try to skip it to save money. Showing it as a line makes the trade-off visible and keeps it from being squeezed into the design budget.
How do I put participant incentives on an invoice?
As a separate line at cost, with the number of participants and the amount each. If you used a recruitment panel, list its fee separately. Agree in the quote whether you or the client pays incentives directly.
Should UX designers bill per screen?
Per screen can work for high-fidelity design once the flows are set, because screens are countable. It works badly for discovery or wireframing, where the number of screens is not known yet. Use days for the early stages.
