Quote template for virtual assistants
VA work grows quietly. It starts with inbox and calendar, then adds invoicing, travel, a bit of social media and someone's personal errands. A quote that lists the tasks you will do, and the ones you will not, gives you something to point at when the list grows. If tasks are added, the block grows or a new rate applies.
Equally important are response times and hours of availability. A client who expects replies within the hour on Saturday is buying something different from one who expects replies by end of the next business day. State your working hours, time zone and response times, and price anything faster as a premium.

What a virtual assistant's quote should spell out
- Tasks in scope, and tasks that are out of scope or charged separately.
- Hours per month or per week, and how overage is billed.
- Rollover rules for unused hours and when they expire.
- Working hours, time zone and response times, including weekends.
- Tools and accounts you need access to, and who pays for them.
- How purchases are paid: client card, reimbursement, or not at all.
Questions virtual assistants ask
How much should a virtual assistant charge per hour?
It depends on the tasks and your experience. Specialist work like bookkeeping, project management or technical support pays more than general admin. Many VAs quote a monthly block at a slightly lower hourly rate than ad hoc work, which rewards commitment.
Should a virtual assistant charge for onboarding?
Yes. Learning the client's tools, getting access and writing down their processes takes several hours. Bill it as a one-off line so it does not quietly eat into the first month's block.
Hourly blocks or task-based pricing for VAs?
Blocks suit varied, ongoing admin. Task pricing suits repeatable jobs, such as processing invoices or scheduling posts, where you know how long each one takes. Some VAs combine both.
